Preparing for Your Appointment

We look forward to your upcoming appointment at Saint Aesthetix. In order to coordinate your care safely & effectively, please complete and review the following:

Please use this step-by-step guide if you have questions on our client booking, check-in and portal instructions.

To ensure a smooth check-in process and reduce your wait time at the clinic, please follow the steps below after booking your appointment.

  • Booking via Vagaro

    Appointments at Saint Aesthetix are scheduled through Vagaro booking portal. Please create a client account to ensure ease of use on booking future appointments.

  • Patient Portal Access

    Once your appointment is confirmed, you will receive a follow-up email from Aesthetic Record with access to your secure patient portal. This portal is where you will complete all necessary intake forms, sign consents, and upload a valid government-issued ID prior to your appointment.
  • Getting Started

    Once you receive the email, click the verification link to confirm your email address. You’ll then be prompted to create a username and password to log into your patient portal.Once logged in, please complete all required intake forms to ensure we have the necessary information for your upcoming visit. Lastly, upload a clear photo or scan of your government-issued ID.

All required information must be completed before your appointment. Incomplete forms or missing documentation may lead to delays or automatic cancellation. For any questions, feel free to contact our team—we're happy to assist you.

  • Please bring the following items with you during the day of your appointment: 

    • Government-issued photo ID**
    • A valid form of payment (credit card) that is required to be kept on file to cover no-show fees, payments, or applicable refunds. Your card information is securely stored using the same HIPAA-compliant software that safeguards your confidential medical records.

    **You may email us your photo ID and insurance card (front/back) to info@saintaesthetix.com to expedite your check-in.
  • Full payment is due at time of your appointment for all services performed

  • Please plan to arrive 15 minutes prior to your scheduled appointment time.

Saint Aesthetix does NOT accept insurance policy payments. However, we gladly accept Health Savings Account (HSA) cards for services that are medically justifiable and eligible under your plan.

To secure your appointment, a valid and working credit card is required. As part of our office financial policy, we maintain a credit card on file for all patients.

The credit card you use for payment will be kept securely on file and may be used for any refunds or outstanding balances after your insurance has processed your visit. If you prefer, you may request to keep a different credit card on file.

At Saint Aesthetix, we take the security of your personal information very seriously. Your credit card details are stored using secure, HIPAA-compliant systems and will never be shared with third parties.

We understand that your time is valuable and that unforeseen circumstances may sometimes require you to cancel your appointment. However, to accommodate the medical needs of other patients, we kindly ask for your cooperation in providing timely notice.

A cancellation fee of $50 applies for no-show / missed appointments if it occurs without at least 24 hours’ notice.

Please be aware that patients arriving more than 15 minutes late for their scheduled appointment will be considered a no-show.

Additionally, patients who accumulate two no-shows or missed appointments may be subject to dismissal from the practice.

Saint Aesthetix is a welcoming and healing environment dedicated to providing the highest quality care to our community.

To maintain a respectful and efficient practice, patients who do not comply with our office policies, fail to fulfill payment obligations, or demonstrate disrespect toward our staff may be subject to termination and discharge from our practice.

You have the right to receive a “Good Faith Estimate” that outlines the expected costs of your medical care. By law, health care providers must provide an estimate of charges for medical items and services to patients who do not have insurance or choose not to use their insurance.

At Saint Aesthetix, we provide estimated pricing at the time of scheduling based on the information available. Additionally, we maintain transparent pricing on our booking portal for your convenience.

Direct Care (Self-pay)

This model is a simple and direct way to be evaluated by a board-certified dermatologist. You make an appointment, receive evaluation and management, and pay for the services provided. There are no hidden fees/surprise bills/co-pays/deductibles. You take control of your own skin health, period.
